Checking which plan is right for you?

When uploading your ILR to check which plan is right for you our system uses the uploaded ILR to determine the number of learners and the appropriate price/plan. 

No copies of your ILR are saved or made during this process. No cookies retain any data relating to your uploaded file.  We do not allow any access to your data by third parties in any way.  Once the system displays your correct pricing plan it automatically permanently deletes your file with no copy or record made.

 

What type of information we have

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details)
  • reference numbers

 

How we get the information and why we have it

The personal information we process is provided to us directly by you for one of the following reasons:

  • Creating an AIR Account
  • Producing Detailed Apprenticeship Performance Reporting

We also receive information indirectly, from the following sources in the following scenarios:

  • RoATP Database

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You can remove your consent at any time. You can do this by deleting any file or deleting your account. You can also contact us at contact@ilrdata.co.uk to have all your data and account removed.

(b) We have a contractual obligation.

(c) We have a legal obligation.

 

What we do with the information we have

We use the information that you have given us to open your AIR account and Produce detailed Apprenticeship Performance Reporting for the ILR files you upload.

We do not share this information with any third parties.

 

Data Retention Schedule

We do make any copies of the information you provide.  You decide when to upload and delete your files, so the data retention is in your hands. Once you delete your files/data it is deleted immediately with no copies made or retained in any way.

 

Cookies

A “cookie” is a string of information which assigns you a unique identifier that we store on your computer. Your browser then provides that unique identifier to use each time you submit a query to the Site. We use cookies on the Site to record registration information, record your user preferences, keep you logged into the Site, facilitate purchase procedures, and track the pages you visit. Cookies help us understand how the Site is being used and improve your user experience.

We do not use cookies to retain any data from your uploaded ILR files.

You have the right to choose whether to accept cookies and to set your own cookie preferences on your computer. If you do not wish to accept cookies from us, you should instruct your browser to refuse cookies from our website, with the understanding that we may be unable to provide you with some of your desired service without them. This policy covers only the use of cookies between your computer and our website; it does not cover the use of cookies by any advertisers.

 

How we store your information

Your information is securely stored on encrypted servers.  

We keep your ILR files until you delete them individually or delete your account or request that we delete them. We will then dispose your information by permanently deleting the files from our servers and deleting your AIR account. No copies of your files are made at any point.

 

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.

Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
